Home reimbursement - Employee can set own tariff

How It Works

  1. The employer accesses the dashboard and clicks the "Invite Employee" button on the "My Locations" page.

  2. In the "Invite employee" setup modal, the employer selects the "Price per kWh" reimbursement option.

  3. The employer selects the checkbox labeled "Allow your employee to set their own price up to a maximum price per kWh.".

  4. The employer defines the "Set maximum price per kWh" (e.g., €0.40).

  5. The employer fills out the required employee details (First Name, Last Name, E-mail) and clicks "Invite".

  6. Upon receiving the invite, the employee completes the station registration process. During Step 4 ("Finalize"), they see an "Energy Costs" section noting the maximum price per kWh allowed.

  7. The employee inputs their specific electricity rate (e.g., €0.30) into the "Price per kWh" field.

  8. The employee finalizes the setup by providing their Reimbursement Details, including Account Holder Name, IBAN Number, and address details.


Configuration/Settings

  • Adjusting Reimbursement amount:

    • Employees can update their energy costs after the initial setup by navigating to their station's "Configuration" tab. They can adjust their rate by selecting the existing price under "Energy Costs" to trigger the "Edit Energy Costs" modal.

  • Maximum allowed:

    • If an employee attempts to update their price per kWh to a value exceeding the employer's set maximum, the system will block the update and display an error stating "Value must be less than or equal to [the set maximum]".


Example Use Cases

  • Utility Contract:

    • A company sets a maximum reimbursement rate of €0.40 per kWh. An employee has a home utility contract of €0.30 per kWh. The employee registers their station and inputs €0.30.

  • New tariff

    • When the employee receives an updated energy tariff, they can edit the reimbursement amount accordingly.


Limitations/Considerations

  • Maximum limit:

    • Employees absolutely cannot set a rate higher than the employer's maximum limit; the UI actively prevents this action.

  • Session Application:

    • When an employee updates their price per kWh in the Configuration tab, the new rate will only apply to charging sessions starting from their next session. It does not retroactively change the cost of previous charging sessions.


FAQ

Q: Can an employee update their reimbursement tariff if their home electricity provider changes their rates?

  • A: Yes. Employees can navigate to the "Configuration" tab on their charging station page to edit their energy costs at any time. The new rate will apply to the next charging session.

Q: What happens if an employee tries to input an amount higher than the employer allows?

  • A: The system will trigger a validation error (e.g., "Value must be less than or equal to 0,4") and the employee will not be able to save the configuration until they lower the price to an acceptable amount.
