Delayed reimbursements

Road supports its customers with reliable and efficient electric vehicle charging management solutions. With this in mind, we have upgraded the billing process to automatically manage delayed reimbursement sessions.

A delayed session is a recharge session that was not processed during the initial billing cycle and is included in a subsequent invoice.

Benefits for your end customers:

This update simplifies the financial experience for your users:

  • Automatic refunds: all delayed sessions are now automatically refunded.

  • Single monthly invoice: a single reimbursement invoice is issued each month. It includes all sessions from the current billing cycle as well as any delayed sessions from previous months (up to three months).

How does automated reimbursement work?

The system ensures that your customers are always reimbursed correctly and on time by automatically adding delayed sessions to their next monthly invoice.

Monthly reimbursement process for delayed sessions

When issuing the monthly reimbursement invoice, starting in January 2026, the system will verify data from previous periods to ensure full reimbursement:

  1. Current month sessions: all recharge sessions successfully processed during the current billing month are taken into account.

  2. Verification of delayed sessions: the system automatically identifies and includes all previously delayed sessions, going back up to three months prior to the current month.

  3. Single invoice: all these amounts are consolidated on a single invoice.

For example: the reimbursement invoice for January 2026 will include the delayed, unbilled sessions from October, November and December 2025.

We ensure that the invoice clearly indicates when it includes top-up sessions carried out over different months:

  • Note on the invoice: ‘May include transactions from previous months.’

  • Data download: All billed sessions, including delayed sessions, are accessible via standard exports of sessions and billable items.
